Privacy Notice.

How VGN Business Support collects, uses and protects information from business enquiries and client work.

Version 1.0 — effective 25 September 2026.

1. Who we are

VGN Business Support is a trading name of Daniel Robinson, a sole trader. Business/service address: 7 Talbot Street, Mansfield, Nottinghamshire, NG18 4AG, United Kingdom.

Daniel Robinson is the controller of personal information used to manage this website, enquiries, quotations, customers, accounts and his own business operations. Contact: business@vgnone.com.

VGN ONE and VGN Gaming are presented as pillars within the wider VGN brand ecosystem. The contracting party and controller is Daniel Robinson, sole trader trading as VGN Business Support.

2. Information we collect

  • Your name, business name, work email address and other contact details you choose to provide.
  • The service, plan or budget selected and the information contained in your enquiry.
  • Correspondence, instructions, approvals, quotes, contracts and service records.
  • Billing details, invoices and payment status, but not complete card details entered on SumUp.
  • Technical and security information such as timestamps and anti-spam signals. Raw IP addresses are not intended to be retained in the enquiry database, although the hosting and security providers may process access logs under their own configured retention.
  • Information needed for legal, accounting, security or dispute-resolution obligations.

The public form is not intended for passwords, payment-card or bank details, identity documents, health information, children’s information, criminal-offence information, legally privileged material, special-category information or other highly sensitive data. If a task may involve such material, say only that a secure handover is required.

3. Why we use information

We use information to answer enquiries, assess requested work, prepare a scope or quote, provide agreed services, administer customer relationships, issue our invoices and record payment status, secure the service, prevent spam, meet legal obligations and protect legal rights.

The lawful basis will normally be steps requested before a contract, performance of a contract, legitimate interests in managing business relationships and security, or a legal obligation. Consent will be used where required for optional cookies or separately requested marketing. An enquiry does not subscribe you to marketing.

The name, work email, support category, business-purpose confirmation and task description marked as required are needed to assess and answer an enquiry. If they are not supplied, we cannot respond or prepare a scope or quote.

4. Information handled for clients

When a client instructs us to handle personal information about its customers, suppliers or staff, the client will normally be the controller and we will normally act as its processor. That work is governed by the Data Processing Schedule in the Terms of Business, the accepted scope and the client’s documented instructions.

5. Who receives information

Relevant information may be shared with approved hosting, security, email, document and business-service providers; SumUp when an invoice or payment request is issued; professional advisers or insurers; public authorities where legally required; or a successor to the business under suitable protections.

We do not sell personal information. Launch providers are OpenAI’s ChatGPT Sites environment and its infrastructure providers for website hosting and enquiry storage; Namecheap for the domain, DNS and email forwarding; Google for the receiving Gmail inbox; and SumUp when an invoice or hosted payment request is issued. Any additional cloud, document, automation or AI tool used for client work must be approved for the relevant scope before client information is placed in it.

6. SumUp and payments

No card payment is taken through this website. After the written scope and price have been accepted, we may send a SumUp-hosted invoice or payment request. SumUp processes payment details under its own privacy information. We receive transaction information such as the payer, amount, date, reference and payment status, but not the complete card details entered on SumUp.

7. International transfers

Some approved providers may process information outside the UK. Where required, we will rely on an adequacy regulation or approved contractual safeguards together with any necessary risk assessment. Details will be available from business@vgnone.com.

8. Retention

Single-use form challenges and rate-limit recordsUp to 24 hours. The enquiry database does not retain raw IP addresses.
Hosting and security logsAccording to the hosting and security provider’s applicable operational-retention settings and policies, for no longer than needed to operate, secure and troubleshoot the service. These logs are not copied into the VGN Business Support enquiry database.
Client-controlled informationThe period agreed in the scope, followed by return or deletion under the processing terms.

Specific records may be kept longer where required by law or reasonably needed for an active dispute. Records are deleted or anonymised when no longer required. Expired form records are removed when the enquiry service runs and during scheduled maintenance where available.

9. Your rights

Depending on the circumstances, you may have rights to request access, correction, erasure, restriction or portability. You may also have the right to object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it. These rights are not absolute.

Contact business@vgnone.com. You may also complain to the Information Commissioner’s Office, although we would appreciate the opportunity to address the concern first.

10. AI and automated decisions

Appropriate automation or AI tools may assist suitable tasks under the Terms of Business, but a person remains responsible for managing the work and reviewing important client-facing outputs. We do not make solely automated decisions about website visitors or customers that produce legal or similarly significant effects.

11. Cookies and similar technology

The public site does not intentionally use optional analytics, advertising cookies or browser storage at launch. The hosting service may use strictly necessary security, load-balancing or sign-in technology, including for the owner-only enquiry area. No optional technology will operate before any legally required choice has been provided. If optional analytics or marketing tools are added later, this notice and any required consent controls will be updated first.

12. Changes

We may update this notice when the service or its providers change. The current version and effective date will appear on this page.
